Introduction to Exchange Email

How do I set up Exchange Email?

First, log in to your account and click Services>My Services:

Next, click Configure Server next to your Exchange product:

Now provide a username to administrate Exchange: 

Next you will be presented with the billing information for your product. Click Login to Control Panel (One-Click Login):

 In the control panel, click Domains:

Now click Add Domain:

Select whether you are adding a Top-Level Domain (e.g. domain.com) or a Sub-domain (e.g. sales.domain.com):

Add your domain name and click Add Domain:

When successfully added, your domain will be shown in your Domains list:

Next, return to the Control Panel and click Hosted Organizations:

Now click Create New Organization:

Now provide an Organization Name, Organization ID (for example Department ID or shot name for the Organization) and select your domain from the drop-down menu. Next, click Create Organization:

Once created, you will be shown the details for your Organization:

Now click Users:

Click Create New User

Enter the details for your new user and click Create User:

 

 

Once created, you will be shown confirmation of the user details with the option to add further details if required. Once complete, click Save Changes:

You will then be taken to your user list:

 Now click Mailboxes:

Then click Create New Mailbox:

In the Create New Mailbox prompt, you can add a new user or select an existing one. Click Existing User, then click the address book icon:

In the Organization Users prompt, click the user you wish to create a mailbox for:

Confirm how you would like the user’s name to be displayed when emails from them are received and click Create Mailbox:

Once created, you will be presented with the extended settings for the mailbox. An example setting is to add multiple email addresses for the same mailbox. Click E-mail Addresses:

 

Add the new email address details and click Add E-mail Address:

You are now ready to start connecting to your account(s) on your device(s).

- I do not have a domain with 4D Hosting - how do I set up Exchange?

Option 1 – Re-point your domain to our DNS servers

Log in to your domain registrar’s control panel for your domain and change the DNS servers to:

ns1.truedns.co.uk

ns2.truedns.co.uk

Option 2 – Adding to your DNS zone

Log in to your domain registrar’s control panel for your domain and add the following to your DNS zone (replacing [yourdomain.com] with your domain name):

MX records: 

mail1.[yourdomain.com] with priority 5
mail2.[yourdomain.com] with priority 4
mail3.[yourdomain.com] with priority 3
mail4.[yourdomain.com] with priority 2
 

Mail1 and mail2 MX records point towards spam filters whilst mail3 and mail4 bypass these filters. If you would like to use the spam filters, set mail1 and mail2 MX records to a lower priority to mail3 and mail4.

For example:

mail1.[yourdomain.com] with priority 2
mail2.[yourdomain.com] with priority 3
mail3.[yourdomain.com] with priority 4
mail4.[yourdomain.com] with priority 5

A records:

mail1.[yourdomain.com] pointing to 37.209.208.15

After creating your email accounts through our Control Panel and setting those records in your DNS zone, you will be able to access webmail via the following website: owa.[yourdomain.com]

Please note that you may need to wait 5-10 minutes between creating the mailbox and logging into webmail. This is due to internal replication inside our systems.

Also, you can add the mailbox to your outlook/smartphone/tablet by adding ‘Exchange account’ in settings of your email software. You will only need to add your email address setup in Control Panel, and the password. All the settings should be automatically imported.

- I already use the email that comes with my web hosting (SmarterMail). How can I use Exchange as well?

When utilising both SmarterMail and Exchange, internal emails sent to Exchange accounts from SmarterMail will bounce back as SmarterMail notices that it is registered as an internal SmarterMail domain. To prevent this, we need to create an internal relay.

This guide assumes you have already configured Exchange and SmarterMail.

The first thing you will need to do is create an Exchange subdomain. Log in to your Control Panel and click Domains:

Now click Add Domain:

Next click Sub-domain:

Create a suitable subdomain, for example exchange.[your domain].com.

Untick Create Web Site and click Add Domain:

Your domains should now look similar to this:

Next, visit Hosted Organizations:

Now select your organization:

Now click Accepted Domains:

Now click Add New Domain:

Select your new subdomain and click Add Domain:

Your domain list should now look similar to this:

Now click Change next to your Top-Level Domain (e.g. domain.com). The domain type will change from Authoritative to InternalRelay:

Now click Mailboxes and select a mailbox:

In the E-mail Addresses tab, add a second email address using your new subdomain (e.g. exchange.[yourdomain].com) and click Add E-mail Address:

Your email addresses should look similar to this:

Now return to your control panel and select Mail>Accounts.

Select or create an account with the same name as the account you configured in Exchange:

At the bottom of the form, add the subdomain email address as configured in your Exchange mailbox. You can tick Delete Message on Forward if you want to avoid duplicates.

Repeat this for any affected Exchange mailboxes.

Once this has been completed, emails sent within the same domain within SmarterMail will be sent to Exchange via the relay. Emails from Exchange to SmarterMail will be sent directly without issue.

How do I set up my Exchange account with Outlook 2013?

If this is your first time running Outlook 2013, click Next through the prompts to run the new account wizard.

If you already have an account configured with Outlook, click File>Add Account to open the wizard:

Now enter the login credentials for your account configured within the 4D Hosting control panel:

Tick ‘Don’t ask me about this website again’ and click Allow:

Your account configuration will be discovered automatically. Click Finish:

You will be prompted to restart Outlook once this is complete. Click OK and restart Outlook.

Note: Outlook may take longer than usual to open while loading a new account while it prepares local storage. This is normal.

Your mailbox will be displayed on the left-hand panel:

How do I set up my Exchange account with Outlook 2011?

To add your account to Outlook 2011, open Outlook and click Tools>Accounts:

Now click the + icon at the bottom of the window and select Exchange:

Next, enter your configured email address:

Then, enter your email address and password, tick Configure automatically and click Add Account:

Now tick Always use my response for this server and click Allow:

Your Exchange account will now be configured.

How do I set up my Exchange account with Outlook 2010?

If this is your first time running Outlook 2010, click Next through the prompts to run the new account wizard.

Can I use Exchange with Outlook 2003 or 2007?

Although you can use our hosted Exchange email with Outlook 2003 from SP2 onwards and Outlook 2007, we strongly recommend considering either the latest version of Outlook (included free with your Exchange package), Windows Mail, or a third-party client such as Thunderbird.

- How can I set up my Exchange account on Windows Mail?

Click or tap the Mail icon on the Start menu:

Once open, select Settings on the charms bar by swiping in from the right or moving your mouse to the top-right hand corner of the screen, then moving down:

Next, tap or click Accounts:

Now select Add an account:

Select Exchange:

 

Next, provide your Exchange email address and password, then click or tap Connect:

Once connected, your account will be selectable on the left:

 

How do I set up Exchange email with Mac Mail?

First, open Mac Mail either from the dock or the applications folder.

Next, select Mail>Preferences.

Now, click Accounts then click the Add Account (+) button. 

Select Exchange from the list of account types available.

Enter your Exchange account details as configured in your Exchange control panel and click Continue.

Features such as contacts and calendars can also be used with Exchange. Select your desired options, then click Continue.

This will configure your Exchange email account in Mac Mail.

How do I add my Exchange account to Thunderbird?

To add your Exchange account to Thunderbird, you will first need the ExQuilla plug-in.

Click the menu button, then Add-ons:

Next, search for ExQuilla:

Locate ExQuilla and click Install:

Once installed, restart Thunderbird:

Now go to Menu>Tools>ExQuilla for Microsoft Exchange>Add Microsoft Exchange Account: 

Provide your email address and password, selecting Login with email address (recommended):

Thunderbird will then provide you with an autodiscover prompt. Click Do auto discover:

Once your account has been discovered, click Next:

You will be shown confirmation that your account has been added successfully. Click Finish:

Your mailbox will appear in the list on the left:

How do I set up Exchange email on my Android device?

To set up Exchange email on your Android device, first tap the ‘Email’ icon, which will look similar to this:

Next enter your email address and password:

Now select Exchange:

Now change Server to mail.4demail.com and tap Next:

Select your preferred sync settings and tap Next:

Finally, provide a name to identify the account by and tap Next. This will complete your configuration:

How do I set up Exchange email on my Windows phone?

To set up Exchange email on your Windows phone, first swipe left to the app list and select Settings. The icon will look similar to this:

Now select email + accounts:

Now select add an account:

Next tap Outlook:

Now enter your account login details and tap sign in:

Your account will now be configured on your phone:

 

How do I set up Exchange email on my iPhone?

First, tap Settings > Mail, Contacts, Calendars > Add Account > Microsoft Exchange.

Enter the information in the fields below, then tap Next:

Your iPhone will now attempt to connect to your Exchange server. You may need to enter your Exchange server’s complete address in the Server field.

Now select your desired synchronisation settings and tap Save:

Your Exchange email configuration is now complete.

- How do I log in to my account?

To log in to your account, visit www.4dhosting.com and click ‘Login’ at the top:

Then log in with your email address and password:

If you have forgotten your password, follow the link next to ‘Forgot Password?’.

- How do I reset my password?

To reset your password, visit www.4dhosting.com and click ‘Login’ at the top:

Then click the link next to ‘Forgot Password?’.
Then enter your email address and click ‘Submit’:

You will then be sent an email with further instructions.

- What payment options are available?

You can pay for any 4D service with a credit or debit card. You can add funds to your account using your credit or debit card for making payments later.

- How do I download my bill?

To download your bill, first log in to your 4D Hosting account.

Next, click Billing>My Invoices:

Here you will find all of the invoices for your account. Click ‘View Invoice’ next to the invoice you wish to download:

Your invoice will look similar to this:

Below your invoice, you can click the ‘Download’ link to download it. This will be downloaded in PDF format and will require a PDF reader such as Adobe Reader to open.

- Can I have a VAT invoice?

All of our invoices show VAT as standard. To view your invoice, first log in to your 4D Hosting account.
Next, click Billing>My Invoices:

Here you will find all of the invoices for your account. Click ‘View Invoice’ next to the invoice you wish to view:

Your invoice will look similar to this:

- How do I view old bills?

To view old bills, first log in to your 4D Hosting account.
Next, click Billing>My Invoices:

Here you will find all of the invoices for your account. Click ‘View Invoice’ next to the invoice you wish to view:

- How do I find out what amount my next bill will be?

To view your next bill, first log in to your 4D Hosting account.
Next, click Billing>My Invoices:

Here you will find all of the invoices for your account. Click ‘View Invoice’ next to the invoice for the current month (you will receive your invoice 14 days before the due date):

This will bring up your invoice for the month.

- How do I update my credit card details?

To update your credit card details, first log in to your 4D Hosting account.
Next click Billing>Manage Credit Card:

You will be taken to the ‘Credit Card Details’ page.
Here you can update your credit card:

- How do I view my bill?

To view your bill, first log in to your 4D Hosting account.

Next, click Billing>My Invoices:

Here you will find all of the invoices for your account. Click ‘View Invoice’ next to the invoice you wish to view:

Your invoice will look similar to this:

- My payment failed – what are my options?

If your payment fails, you can retry the payment with a new card, by firstly logging into your 4D Hosting account.
Next, click Billing>My Invoices:

Here you will find all of the invoices for your account. Click ‘View Invoice’ next to the invoice you wish to retry payment on:

This will bring up the unpaid invoice:

Click ‘Pay Now’ to retry your payment.
Here you can select an existing card registered to your account or use a different one:

Continue to retry your payment.

- How do I check my products and services?

To see your products and services, first log in to your 4D Hosting account. Visit www.4dhosting.com and click ‘Login’ at the top:

Then log in with your email address and password

Next, to show your web hosting, Exchange email or VPS services, click Services>My Services:

This will show your services:

To view your domains, click Domains>My Domains:

This will show your domains:

- How do I change the email registered on the account?

To change the email registered on your account, first log in to your 4D Hosting account.

Then click ‘Hello [User]’, then ‘Edit Account Details’:

Now change the email address to the new one and click ‘Save Changes’:



This will be your new username.

- How do I merge two accounts?

To merge two accounts, log a ticket with the details, stating each account username.
In the event one of the other account’s contact details aren’t added to your account, we will request an email from the owner of the second account to confirm they approve the merge.

- How do I make a complaint?

To make a complaint, please email complaints@4dhosting.com with as much detail about your issue as possible.

- How do I cancel my account?

To cancel your account, call our Sales team on 020 7183 3655 and they will be happy to help.

- How do I submit a ticket?

To submit a ticket, log in to your 4D Hosting account and click “Open Ticket”:

Select the relevant support department.

Fill in as much detail as possible, then click “Submit”:

You will then be given a ticket ID, which you can use to confirm the status of your ticket.

To view the status of your ticket, go to Status>Tickets. Here you will see your open tickets:

- How long does it take for a ticket to be answered?

Support tickets are usually responded to within 15 minutes. Repair times may vary depending on the nature of the issue.
